Decision Prompt

How would you rebuild the QBR opening and manager feedback so the meeting leads to a decision?

Situation Brief

A CSM prepared a 19-slide QBR for an executive sponsor who cares about cost control and cycle time. The deck has activity charts, release notes, support trends, and a roadmap slide, but no point of view. The opening slide says, 'Today we will review usage, support, and roadmap updates.'

Available Evidence

  • Seat usage is up 18 percent, but the customer's stated objective was faster exception handling.
  • Support tickets dropped in volume but increased in severity.
  • The champion wants to request budget for another team.
  • The deck ends with 'questions?' instead of a recommendation.
  • Two slides mention ROI, but neither contains a customer-approved number.
  • The executive sponsor skipped the last QBR because it was 'too operational.'
  • The CSM wants to keep every metric because each one took time to prepare.

Answer Rubric

What strong judgment sounds like.

Strong answer

Replace status reporting with an executive decision narrative.

  1. Lead with the business objective, what improved, and what remains unproven.
  2. Use usage and support metrics only as evidence for the business narrative.
  3. Name the decision needed: expand the workflow, fix a blocker, or pause until proof exists.
  4. Coach the CSM to remove vanity slides and close with a recommendation.
  5. Rebuild the opening into three slides: executive thesis, proof and gaps, decision needed.

Weak answer patterns

  • Adding more charts instead of choosing a point of view.
  • Equating seat usage with the customer's business objective.
  • Mentioning ROI without approved evidence.
  • Ending the meeting with open discussion instead of a recommended next decision.

Manager Coaching Notes

  • Ask the CSM to state the QBR thesis in one sentence before opening slides.
  • Mark every slide as proof, context, risk, or decision support.
  • Require a forward-looking recommendation tied to the executive's priority.
